
Position: - OFFICE ATTENDANT/MESSENGER
Based at the Tobago Branch – Lot 13, Rousseau Village, Orange Hill Road, Tobago
Permanent – Full Time
The Office Attendant/Messenger performs related duties within the office under the direction of the Operations Manager / Branch Supervisor.
JOB FUNCTIONS
The incumbent duties include, but are not limited to, preparing and arranging refreshment stands, maintaining cleanliness of bathroom facilities, preparing rooms for meetings, and replenishment od supplies. The Office Attendant is also responsible for the delivery of documents to previously agreed-to destinations.
Hospitality
- Ensures Boardroom/Meeting rooms are clean, tidy, and presentable for every meeting (which can often mean a very quick turnaround)
- Ensures that refreshments are replenished and available before each meeting.
- Order meals for all meetings as directed by the Operations Manager/Branch Supervisor.
- Informs Operations Manager/Branch Supervisor when refreshment stocks are low.
Sanitation / Janitorial
- Ensures a high level of cleanliness is maintained throughout the office on a daily basis.
- Uses cleaning materials appropriately, as instructed and economically, informs Operations Manager/branch Supervisor when stocks are low.
- Dispatches janitorial/stationery and other requisitioned items to Branches.
- Empties and cleans bins, removes waste to designated area, including the separation of waste, i.e. recycling.
- Clean all internal and external glass windows and doors.
- Ensures (where practicable) windows and doors are closed and lights switched off.
Health, Safety and Facility
- Maintains a clean, safe work environment to ensure the safety of visitors, other staff, and self.
- Report any defects seen which are likely to affect security (i.e. broken/cracked window etc) to the Operations Manager/Branch Supervisor
- Ensures that all tools and equipment are in good working order, reports any faults to the Operations Manager/Branch Supervisor.
- Reports any situation that is hazardous to the Operations Manager/Branch Supervisor
- Participates in problem solving processes to resolve Health and Safety issues.
Internal Mail Delivery Services
- Collects packages from Outgoing mail tray on scheduled delivery date and deliver to recipients.
- Ensures Deliveries Register is signed by all recipients.
External Mail Delivery Services
- Collect external mail and delivery book from the Operations Manager/Branch Supervisor when requested.
- Delivers all external mail to respective recipients ensuring that the delivery book is signed off by the recipient.
- Pays bills on behalf of the Credit Union.
Marketing
- Promotes and cross-sells the Credit Union products and services to members.
- Participates in the Society’s marketing/promotional events.
Miscellaneous
- Any other duties or tasks assigned by the Operations Manager/Branch Supervisor.

- To identify and exploit formal and informal professional improvement opportunities on a regular basis as agreed in the personal performance plan.
Education and Experience
- 5 CXC Passes.
- 2 years’ experience in a related field.
